How to edit several guests at once

Your list as a spreadsheet. Assign tables, note gifts or fix phones in one go, and save everything together.

Computer only

Where to find it

Guest list → “Sheet”, or the arrow next to “New” → “Add or edit several”

Before you start

  • Having guests in your list.
  • A computer. The sheet isn’t available on mobile.

Steps

  1. 1

Open the guest sheet. In your list, tap “Sheet”. Each row is a guest and each column, a detail.

  2. 2

Click a cell and type. Enter moves down to the next one and Tab moves right; the arrows move you around the sheet.

  3. 3

Pick from the list in “Invited by”, “Country code” and “Language”: when you select the cell an arrow appears to open it. In “Invited by” you can tick several hosts.

  4. 4

Fill several cells in one go. Select a range by dragging, copy a value and paste it: it repeats across the whole range. Handy for seating ten guests at the same table.

  5. 5

Check what’s still unsaved. Everything you haven’t saved shows in yellow: the cell, its row number and a dot in its column header. When you select a changed cell we tell you what it had before. With “Show only changes” the sheet shows just those rows. Cells with errors show in red.

  6. 6

Tap “Save”, at the top right. If you change your mind, “Undo” goes back one step and “Discard” throws them all away. The buttons follow you as you scroll down the list.

Result

All the changes are saved together and show right away in your list and in each guest’s profile.

Notes

You can copy and paste between the sheet and Excel or Google Sheets both ways.

Clearing a cell deletes that detail when you save. Clearing a whole row does not delete the guest: it flags the details they’re missing.

To delete guests, click the row number (drag to pick several) and tap “Delete rows”. We ask you to confirm, because it’s permanent.

If you type in “Confirmed” for someone who hadn’t answered, they count as confirmed by phone. If you lower their “Seats”, their confirmed go down with them.

“Seat names” are separated by commas: “Dad, Lucía”.

The search and the filters at the top work the same as in the list. The empty rows at the end are for new guests.

Arrange the columns your way. Drag a header to move it; that way you can put them in the same order as your Excel file and paste in one go. The thick line after the first column marks the ones that stay frozen when you scroll right: drag it to freeze more or fewer. Your layout is saved in this browser.
